The challenge
The European Organization for the Exploitation of Meteorological Satellites (EUMETSAT) operates geostationary satellites over Europe, Africa and the Indian Ocean. EUMETSAT, an international organization from the space industry has been using Hummingbird document management (HDM) to manage their strict document policies and security.
Their corporate strategy warranted a move to an Oracle platform which included migrating all the data from Hummingbird DocsOpen to Oracle UCM 11g (UCM). Since the HDM application was customized for the organization, moving data to UCM posed real challenges.
Around half a million documents with multiple revisions had to be migrated with all the attributes, relations, attachments, access rights, and audit history. Other data like users, groups, personal workspaces, and saved searches had to be migrated. The architecture of HDM and UCM are natively different, which meant various types of complex mappings were required to move the documents.
The migration presented several significant challenges:
- Discovery & analysis: Our Discovery tool helped to analyse all available documents in Hummingbird, enabling the identification of any inconsistencies in metadata, content and permission. Numerous reports were generated to identify data corruption and distribution of relevant metadata.
- A large volume of versioned content: Around half a million documents with multiple revisions had to be migrated with all its attributes, relations, attachments, access rights and audit history.
- Different HDM & UCM architecture: The architecture of HDM and UCM was natively different, which meant various types of complex mappings were required to move the documents.
- Complicated UCM mapping: The permission structure in HDM did not have a straightforward mapping onto the UCM permission structure or its permission inheritance.
Solutions
Proventeq’s migration experts worked closely with Eumetsat to design and implement a best practice content migration solution to enable a smooth transition to their new environment:
- Discovery and Analysis: After meeting with the client’s team to understand their migration requirements, Proventeq performed a full discovery and analysis of content with Content Analyser to identify and understand the existing content landscape.
- Information architecture optimization: Classification and separation of data were efficiently processed to meet the demands of accessibility and navigation within the new architecture.
- Pilot migration: Migration Accelerator’s pilot migration feature allowed full mapping of all content and proved the revised content architecture worked according to business expectations prior to live migration; keeping their business operational on their existing ECM system before go-live.
- Security & compliance: During the migration, we enriched and restructured their content via classification, security remapping, metadata and taxonomy. We also moved documents from the common object store to customer specific document libraries to ensure security and compliance.

Key Outcomes
The migration to Oracle delivered significant benefits to EUMETSAT:
- Relationships & integrity: Metadata from different profiles was consolidated and standardized in Oracle UCM. All relationships like content hierarchy, attachments, related items etc. were converted to a UCM equivalent relationship.
- Preserving budget: Automation of complex content migration processes for the heavily customized version of Hummingbird ensured reduced effort and delivered savings of cost and time.
- Business functionality: The ‘automated migration’ and ‘delta management’ proved useful for the organization to adopt Oracle UCM without any significant downtime.
